Refund Policy

Cancellation is allowed up to 4 weeks from the start date for which the fee was paid (October & April). At this point a 25 per cent refund will be made. All requests for refunds must be submitted to the Lac La Biche Whitecaps Swim Club Board in writing within the appropriate time period. After this deadline, there will be NO REFUND.
As a Club we have a financial commitment to Swim Alberta, insurance and our coaches, therefore a 100% refund will never be granted. In all cases these fees will be retained.
Should an extreme situation or medical reason arise after the date a request for withdrawal/refund can be made to the Lac La Biche Whitecaps Swim Club Board. These requests must be made in writing and supporting documents (such as a doctors note) must be provided. The Lac La Biche Whitecaps Swim Club Board will review on a case-by-case basis to determine if a refund will be issued. These decisions will be considered final.
There will be NO REFUNDS for missed practices. Up to 4 practices can be made up on flex days for illness or family vacation.

Fees and Fundraising

1. Part of the individual swimmers fee pays for Swim Alberta Registration Fees. These fees are non-refundable.
2. Fees are payable at registration. KidSport application forms, are available at the Bold Centre Information Desk, so all kids can swim.
3. Volunteer cheques are required to hold as security which will be destroyed at the end of season 1) upon the completion of volunteer work by guardian of swimmer, and 2) registration and participation in Swim A Thon by swimmer.
4. NSF cheques will be subject to a $25.00 administration charge. Any outstanding amounts owing to the Whitecaps Swim Club not paid within one month of billing will be subject to a 2% per month interest charge. Failure to pay may result in the suspension of membership in the Club.
5. The Whitecaps Swim Club reserves the right to cancel any of the above programs due to insufficient enrolment or lack of coaching staff.

Casino and Volunteer Expectations

Whitecaps Swim Club is a non-profit, volunteer run sports Club. The Club is not able to exist without the contribution of volunteer hours from participants’ families. Families are expected to contribute the majority of the required volunteer hours. Parent involvement will enhance the parent’s understanding of the Club and the sport and will improve all swimmers’ experience through a well-run Club. Periodically emails, text, or Facebook messages will be sent to all Club parents with volunteer opportunities.
If an adult volunteer is directly supervising children under the age of 18, they must complete a criminal record check before starting their duties.
A $300 deposit is required at time of registration in the form of an undated cheque, which will be cashed if your commitment is not completed.

Swim-A-Thon

Each year, every swimmer is expected to swim in one Swim–A-Thon. This is a requirement of all swimmers registered with Swim Alberta. This fundraiser is helpful for all swimmers across the province and nationally. Please do your part to support swimming in Lac La Biche, Alberta and Canada.
A $100 deposit is required at time of registration in the form of an undated cheque, which will be cashed if your commitment is not completed.

Uniforms

The Alberta Gaming and Liquor Commission permits the allocation of casino proceeds for the purchase of team uniforms, granted the following conditions are met:

1. Uniforms must display the team logo.

2. Team members can use the uniform only throughout the duration of the season.

3. Team members must return the uniform at the end of each season OR

4. Team members can choose to purchase the uniform at the end of the season, or at any time.
